Use
Financings are adjusted if the financing requirement for a person or position changes between two commitment runs.
If the new financing requirements are lower than the old ones, a personnel cost saving has been made. A reason for this can be that the vacancy for a position that was not occupied in the past is removed and the financing requirement is therefore lower than originally assumed. It is also possible that an employee reduces their working time and this reduces the financing requirement.
If the new financing requirement is higher then the previous one there is an overrun of personnel costs. Another possibility is that an employee received an unplanned salary increase.
Prerequisites
If you want to evaluate changes to the financing requirements or want to make budget that is no longer required inaccessible, you have to activate recording of personnel cost savings in Customizing of Position Budgeting and Control in the section Definition of Recording Personnel Cost Savings. Activating the recording of personnel cost savings includes the recording of overruns of personnel costs.
Features
Using the function recording of personnel cost savings, you can evaluate the type and amount of commitment changes (personnel cost savings and/or overrun of personnel costs) the system makes during the commitment creation due to changes in the personnel master data that are relevant to the budget.
For personnel cost savings, it is also possible to make released budget inaccessible by defining (in Customizing of Position Budgeting and Control) that the system automatically creates a funds block for the amount of the personnel cost savings in the component Funds Management. The budget can only be used for another purpose when the funds block has been removed.
The function recording of personnel cost savings affects a number of processes that run the commitment processor. You can find examples for standard processes in the section Business Processes in Commitment Creation.
Activities
To display vacant positions which could be used for generating personnel cost savings, choose the following from the SAP Easy Access menu: Personnel ® Personnel Management ® Position Budgeting and Control ® Information System ® Commitment Creation ®Financing® Personnel Cost Savings ® Display Vacant Positions.
To generate personnel cost savings from vacancies, choose the following from the SAP Easy Access menu: Personnel ® Personnel Management ® Position Budgeting and Control ® Commitment Creation ®Personnel Cost Savings ® Generate Personnel Cost Savings from Vacancies.
To display the personnel cost savings generated, choose the following from the SAP Easy Access menu: Personnel ® Personnel Management ® Position Budgeting and Control ® Information System ®Commitment Creation ® Financing® Personnel Cost Savings ® Display Personnel Cost Savings.
To release the funds block created in the component Funds Management and make the budget available again, choose the following from the SAP Easy Access from Personnel ® Personnel Management ® Position Budgeting and Control ® Commitment Creation ® Personnel Cost Savings ® Remove Funds Block.
