SAP Generating Personnel Cost Savings from Vacancies

Use

Vacancies reserve budget that is no longer required for periods in the past in the component Funds Management. You have to generate personnel cost savings in the component Position Budgeting and Control by delimiting the vacancies.

Prerequisites

Commitment must have already been created for the position. You can find more information under Commitment Creation for Positions.

If you want to display personnel cost savings in the info system, recording must be activated in Customizing of Position Budgeting and Control in the section Definition of Recording of Personnel Cost Savings.

Note

When activating personnel cost savings in Customizing, you can also define whether the system should automatically create funds blocks in the component Funds Management. If you do not create any automatic fund blocks, the budget is automatically available in Funds Management again when you generate personnel cost savings from vacancies. Otherwise, you also have to remove the funds blocks so that the budget can be used for another purpose.

Procedure

...

1. Choose the following from the SAP Easy Accessscreen: Human Resources ® Personnel Management ® Position Budgeting and Control ® Personnel Cost Savings ® Generate Personnel Cost Savings from Vacancies.

2. Select an organizational unit.

On the right side of the screen, you can see all vacancies in the organizational unit you selected. The amount and the period for which the amount was reserved are displayed for each position.

3. Enter the period in which you could not occupy the vacancy in the group box Remove Vacancies.

4. Select the position that is not occupied in the upper area of the screen.

5. Select Remove in the group box Remove Vacancies so that the commitment processor cancels the financing requirement for the period in which the position was not occupied.

You can see the values adjusted for the position in the upper area of the screen.

6. To generate the personnel costs savings for this position, select Start Commitment Run in the group box Generate Personnel Cost Savings.

If you have defined in Customizing of Position Budgeting and Control (Activation of Personnel Cost Savings) that the system should create funds blocks in the component Funds Management, the system automatically creates funds blocks for the personnel cost savings generated.

7. To display the personnel cost savings that were created, select Information System ® Commitment Creation ® Financing ® Personnel Cost Savings ® Display Personnel Cost Savings.

Result

You have generated personnel cost savings, that is, the updated financing requirements is then lower than it was before the commitment run. If you have defined in Customizing of Position Budgeting and Control (Activation of Personnel Cost Savings) that the system should create funds blocks in the component Funds Management, you have to remove the funds blocks so that the budget can be used for another purpose.
