SAP Finance Budget Updates

Use

Using this function, you can increase or reduce the budget of budget structure elements.

The application of funds of budget updates is different for each type of position plan from which the budget structure element originates:

· In the case of position plans for a financial year, the budget update is the only way to change the budget of a budget structure element in a released budget.

· For non-financial year position plans, the budget update only has a function for documentation because you could also change the original budget in this case.

Prerequisites

The following IMG activities must have been processed in Customizing of Position Budgeting and Control:

· Define Budget Updates

· Maintain Assignment of Budget Updates for Budget Structure Element Types

The budget must have the status released for financial year position plans.

Features

Budget updates are mapped in the system using subtypes of the infotypes budget updates (1504). SAP delivers the subtypes Increase by Assignment and Decrease due to Debits. You can change these subtypes in Customizing of Position Budgeting and Control or add new subtypes.

There are two types of budget updates – Increase and Reduction of funds.

You specify a supplement or return either as a monetary amount or as full-time equivalents (depending on the budget structure element type) for a specific validity period.

The system calculates the total amount of the budget update from the entries and the validity period. If a reduction is created, activate availability control checks that the budget in the budget structure element is still available.

Activities

To update the budget of a budget structure element, choose the following from the SAP Easy Access screen: Human Resources ® Personnel Management ® Position Budgeting and Control ® Personnel Budget Plan Management ® Position Plan ® Change and then click on the tab page Budget Update.

Example

The current budget is increased by EUR 50,000 from a supplementary budget in the budget structure element Personnel Expenses for Civil Servants. You can add this increase amount to the BS element using a budget update.
